Date comparison logic
The NWR records issue dates while Tanda records expiry dates. For CPR and First Aid, the tool calculates an expected expiry by adding the validity period to the NWR issue date, then compares that to the Tanda expiry date. A tolerance of 2 days is applied to account for rounding differences between systems.
Example: NWR issue date 15/03/2024 + 1 year (CPR) = expected expiry 15/03/2025. If Tanda shows 14/03/2025 or 16/03/2025, that's within tolerance and won't be flagged.
Attachment filter
By default, Tanda qualifications without an attachment are ignored during reconciliation. This avoids false positives from placeholder or incomplete records. You can include them by ticking the checkbox on the site mapping screen before running the reconciliation.
Data filters
The following filters are applied automatically when parsing the Tanda Location & Teams CSV:
- Only locations containing "OSHC" or "ELC" are included
- Rows with cost centre "ERROR! Uncategorised Shift" are skipped
- "YMCA SA" is excluded from employee name lists
Site matching
NWR service names are fuzzy-matched to Tanda location names. Common noise words (ymca, school, primary, college, parish, etc.) are stripped from both sides before comparing. Matches below 80% confidence are highlighted amber; below 50% are highlighted red. All matches can be manually overridden using the dropdown on the mapping screen.
Clickable links
Employee names link to their Tanda profile (Train & Qualify tab) using the Employee System ID from the Location & Teams CSV. Site names link to the NWR portal register page using 52 embedded service URLs. If an ID or URL can't be matched, the text appears without a link.

- Tanda Qualifications CSV - exported from Tanda with columns: Preferred name, Link to staff qualification, Expiry date, Approved?, Attachment
- NWR Current Registers - one .xlsx per site, exported from the NWR portal as a Worker Register Data Extract. Each file has four sheets: Positions (one row per worker), Background Checks, Quals Training, and Addresses. Records flagged as Previous or Inactive are ignored.
All data is processed locally in your browser. No files are uploaded to any server. Close the browser tab to clear all data from memory.
